This Position will be placed on iForte GPU & iForte AI Solutions

What You Will Do:

Administrative Support 

  • Manage calendars, meeting schedules, and travel arrangements. 
  • Prepare minutes, follow up on action items, and maintain trackers. 
  • Handle document filing, correspondence (email/WhatsApp), and basic reporting. 

Sales & Client Follow-Up 

  • Coordinate with the Sales team on quotations, proposals, and simple vendor forms. 
  • Track leads, demos, and POCs in the CRM; send reminders and follow-ups. 
  • Support customer visits, workshops, and small events (materials, logistics). 

Operations & Logistics 

  • Support procurement (RFQ/PO), courier/shipments, and basic inventory records. 
  • Liaise with suppliers, data centers, and service partners on scheduling/status. 
  • Maintain office supplies/equipment and coordinate with vendors for support. 

Documentation & Compliance 

  • Prepare standard templates (NDA, company profile, checklists) and keep them updated. 
  • Assist with invoicing coordination and payment follow-ups with Finance. 
  • Ensure neat, accurate records in line with company policies.


What You Will Need:

  • Diploma/Bachelor’s degree or equivalent experience. 
  • 1–3 years’ experience in administration, operations, or sales admin (fresh graduates with strong internships welcome). 
  • Proficient in Google Workspace/Microsoft Office (Docs/Word, Sheets/Excel, Slides/PowerPoint). 
  • Strong communication in Bahasa Indonesia & English (written and spoken). Chinese is a plus. 
  • Organized, responsive, and comfortable handling multiple tasks and deadlines. 
  • Preferred  
  • Experience in sales administration/CRM (e.g., HubSpot, Zoho, Pipedrive). 
  • Familiarity with basic procurement and vendor coordination. 
  • Comfortable using WhatsApp Business/WeChat for professional communication. 
  • Basic understanding of invoices, receipts, and simple tracking spreadsheets. 
  • Professional, courteous communication and a service mindset. 
  • High attention to detail, reliability, and confidentiality. 
  • Willingness to learn and adapt as the company grows.
